Your Non Refundable Booking Fee of £150 is to reserve your date in my diary towards your Wedding Cake and Celebration cake with Value over £100, Celebration cakes under £100 require payment of a £20 Non Refundable Booking Fee. This Fee will be deducted from your final balance.
Your booking is not confirmed and your date is still available to other customers until the £150 Non Refundable Booking Fee is paid. If your Booking Fee is not paid within 7 calendar days of issue then I reserve the right to cancel any previous arrangements.
Final Balance Payment in Full is due one (1) month before your Wedding Date and two weeks before date required for Celebration Cakes.
If your cake is ordered less than 1 month before the event date, the total amount is due immediately and your order is not confirmed until payment is received.
By paying the Non Refundable Booking Fee it is deemed that my Terms & Conditions are understood and accepted as applying to your order. No work will be performed on your order until final payment has been received.
DESIGN FINALISATION
Changes to your order (size, decor, flavours etc.) will be accepted until 4 weeks prior to the Wedding date. After that date we are unable to accept any further alterations.
Changes to the cake design approved by the Client after execution of this agreement may result in total price changes.
DESIGN VARIATION
While Pam Rennie Cake Design here and after The Bakery, makes every effort to provide exactly the flavour, filling, decoration, size, colour, shape, and design discussed during consultations, creating cakes and other desserts is an art form and may be subject to variations.
It is your responsibility to ensure that your wishes are clearly stated and any design aspects are given accurately.
Colour matching is not a precise science and different sugar substrates take colour differently. The Bakery will do everything possible to match provided colour swatches, but sometimes it is not possible to make a 100% perfect colour match. Some colours are just not achievable using food grade dyes.
The Bakery cannot match a “verbal” colour or a colour sent via electronic device, as all monitors display colour differently. To attempt a colour match, you must provide a colour swatch 4 weeks in advance of the event.
Any samples drawings, or descriptions I issue, and any descriptions or illustrations contained on my social media platforms are issued solely to provide you with an approximate idea of the cakes they describe and remain the property of Pam Rennie Cake Design.
To maintain stability and the integrity of your Wedding cake, The Bakery reserves the right to make design and structural changes to your cake on site or off, without prior notification.
ORNAMENTS, TOPPERS, AND FLOWERS
All ornaments and toppers should be brought to us by 7 days prior to your event so they can be assessed for weight and stability, and any necessary cake reinforcements prepared.
The Bakery reserves the right not to place ornaments on your cake if we feel that so doing will cause damage to your cake.
If your cake requires fresh flowers then these are not included in the price. I can work with your Florist but expect you to make all the necessary arrangements with your Florist. Please note Pam Rennie Cake Design is not responsible for any problems with your fresh flowers. Please keep in mind that some flowers are harmful when eaten, and caution should be used by you and your florist when selecting flowers to insert into cake. Although Florists may not have complete knowledge of what is toxic and what is not so please discuss the florals you’d like with myself after your meeting with your Florist.
Pam Rennie Cake Design is not liable for any damage or illness caused by another party inserting florals into the cake.
Fresh flowers must be placed near the cake table at the venue, in single flower form and ready for use upon our arrival.
It is important for us to allow the appropriate amount of time within your set-up fees to adorn your cake at it’s destination. Please be sure to discuss on-site decoration with us in advance of delivery to avoid additional charges.
CAKE TABLE
The responsible party is responsible for ensuring that there is a cake table available at time of delivery and set up. If the table is to be skirted or otherwise covered it must be prepared before the cake is setup. The table must be secure and level and must be able to support a minimum 50lbs. Once the cake is set up it is no longer the responsibility of Pam Rennie Cake Design. Pam Rennie Cake Design can not be held responsible for tables provided by the customer/venue that fail to support the weight of the cake.
CAKE STANDS AND FRAMES
In the event that Pam Rennie Cake Design provides cake stands and cake frames not purchased by the responsible party, they must be returned within 5 days of the event as stated in my Cake Stand Hire Agreement. Failure to return the stands/frames with result in NO REFUND of hire security deposit.
CANCELLATION AND POSTPONEMENT POLICIES
If you postpone your Wedding Date or celebration I will endeavour to transfer your booking providing the date is suitable, otherwise it shall be treated as a cancellation. We will do everything in our power to accommodate your new date in cases of postponement. However, if a new date is not selected our cancellation policy will apply.
If we are not able to accommodate your new date, The Bakery will consider your event to be “cancelled” and our cancelation policy will apply.
Cancellation of your event will result in a partial to no refund. a. Cancellation prior to 4 months before your Wedding Date or 1 month for Celebration Cakes: A cancellation fee in the amount of 50% of your total order amount will be retained by The Bakery from your total payments, and any remainder refunded in the form of bank transfer. b. Cancellation 1 month prior to your Wedding Date or 1 week for Celebration Cakes: I reserve the right to seek 100% of the order value.
When we take your Wedding Booking, Celebration booking, we begin declining other orders. As we get closer to your event date, the chances of re-booking your date are greatly reduced. Please be aware that postponements may be subject to an increase in cost, in line with the annual cost of inflation, increase in ingredients etc, dependant on the duration of the postponement.
ALLERGENS AND INGREDIENTS
Pam Rennie Cake Design is a registered, insured, and health permitted bakery.
We only use ingredients of the utmost quality and make all of our products completely from scratch.
While Pam Rennie Cake Design will take every measure to minimise the risk of cross-contamination, Pam Rennie Cake Design processes use known allergens such as wheat, dairy, gluten, and eggs. In signing this contract, you agree to notify guests of allergen risks and hold us harmless for any allergic reaction.
In accordance with law, ingredient lists are available upon request.
PHOTOGRAPHY OF YOUR CAKE
The Bakery reserves the right to take and use photographs of your cake(s) and desserts, before, during and after set up, including scenic photos of the event location, to use for marketing, advertising, and promotional purposes without compensation to you.
TRANSPORTATION AND STORAGE OF YOUR CAKE (celebration cakes)
Your cake needs to be completely flat when being Transported. The best place for your cake is in the boot of your car or the passenger footwell. Please DO NOT sit your cake on the passenger seat as it is not flat. Please DO NOT have someone sit holding your cake as it will not be completely flat. This is especially important when transporting a tiered cake.
Sugarpaste iced and buttercream decorated cakes should not be stored in the Fridge, If the cake is not to be displayed straight away it should be stored in the box in a cool room.
NATURAL DISASTER/ACTS OF GOD
Performance of this agreement is contingent upon the ability of Pam Rennie Cake Design to complete this agreement when delay or default is caused by conditions beyond its control, including but not limited to, Acts of God, Government restrictions, war, terrorism, criminal act, insurrection, and/or any other causes beyond the reasonable control of the company.
In the unlikely event that the baker is injured or becomes too ill to provide services for your event, The Bakery will make every effort to secure a suitable replacement bakery. If the situation should occur and a suitable replacement is not found, responsibility and liability is limited to the return of all payments received for event services. If the client does not want The Bakery to find a replacement, the contracting party may choose to receive a refund instead.
LEGAL
All disputes arising under this agreement shall be resolved through mediation. If mediation is unsuccessful, the dispute will be submitted to binding arbitration.
